Staff Bot

The staff team: membership, recruitment, warnings, leave and activity tracking.

Revised October 5, 2026

This page is part of the Privacy Policy, which sets out retention periods, your rights and how deletion works.

Profile and team membership

Discord ID, name, display name, avatar and when the profile was last updated. Branches, ranks, join and leave dates, who appointed or removed the staff member and why.

Warnings and restrictions

Staff and branch blacklists, regular and formal warnings, including for hidden roles: to whom, by whom, why, when issued and when it expires or was removed. A log of administrative actions: who did what, to whom, in which branch and why.

Staff applications

Discord ID, name, avatar, the chosen branch and the answers from the form: name, age, time zone, free time, experience and goals. The application’s status, who reviewed it and how, and interview details.

Leave, requirements and activity

Leave: dates, branches, reason and who approved it. Staff voice activity: channels, join and leave times, duration. Requirements: how many hours are needed and how many were completed, requests to change a requirement.

Candidate check

Before deciding on an application, a staff member can check whether the candidate is on the project’s servers and holds staff roles there. Currently only the Yamiko server is checked. The result is saved in the candidate’s history.

Payouts

Who received how much, from whom and for what, whether the operation went through and what error occurred if it didn’t.

Visits from the website

The buttons on the Yamiko websites that lead to the server use their own invites. When you join the server through one of them, the bot notes your Discord ID, which button brought you and when, and, if you leave later, when you left. The note is used to count how many people came from the website and stayed; it is deleted after 90 days, and only daily counts remain.
